Your account and workspace

How to sign in, what a workspace is, and how to share one with your team.

Signing in

Hiroi has no passwords. The sign-in page offers these options, and shows the ones your deployment has configured:

Option What happens
Continue with Microsoft Signs you in with a Microsoft work, school, or personal account.
Continue with Google Signs you in with a Google account.
Continue with Apple Signs you in with an Apple ID.
Continue with Passkey Uses a passkey you already registered on this account. Shown once at least one passkey has been registered in your deployment (the check is not per-account).
Sign in with email Enter your address under or sign in with email and click Send link. You get a one-time sign-in link.

Signing in for the first time creates your account — there is no separate sign-up step. New accounts start with a free credit balance you can spend on conversations before adding any of your own; see Billing and credits.

Email sign-in links expire 15 minutes after they are issued and work only once. Request another from the sign-in page if yours has expired.

If you sign in with a different provider later using the same, verified email address, you land on the same account rather than a second one.

Passkeys

A passkey signs you in with your device's biometrics or PIN and doubles as your second factor. Add one from Settings → Security: click Add passkey, name it (for example MacBook Touch ID), then click Continue and complete the prompt from your browser or operating system. The same section lists your registered passkeys and lets you remove them.

Your workspace

Everything in Hiroi belongs to a workspace: your assistants, conversations, contacts, and analytics are all scoped to whichever workspace is active. The dashboard calls a workspace an organization in a few places, including the Workspace tab in Settings — they are the same thing.

Every account gets a personal workspace, created automatically the first time you sign in. It is yours alone: it cannot take additional members, be renamed, or be deleted.

To see the current workspace, open Settings → Workspace. It shows the workspace name, its short identifier, your role in it, and how many members it has.

Switching workspaces

The workspace switcher sits at the top of the sidebar, directly under the Hiroi Assistant wordmark. If you belong to only one workspace it is a plain label. Once you belong to two or more it becomes a menu: click it, pick a workspace, and the dashboard reloads in that workspace's context. Your personal workspace is marked with a Personal badge, and the active one carries a checkmark.

Roles

Every member of a workspace holds one of four roles.

Role Can do
Viewer Read-only. View assistants, contacts, conversations, and analytics.
Member Everything except workspace settings and member management: create and edit assistants, manage contacts, view and export conversations, manage phone numbers and messaging, and change non-admin assistant settings.
Admin Everything a Member can do, plus renaming the workspace, changing its settings, and inviting, removing, or re-roling members.
Owner Full control, including deleting the workspace.

Rules that apply regardless of role:

  • Only an Owner can promote someone else to Owner.
  • The last Owner of a workspace cannot be demoted or removed.
  • You cannot change your own role from the members list.

Inviting people

Not yet available on hiroi.ai. Shared workspaces are turned off for launch: you cannot create one, invite anyone into one, or delete one. Every account has the personal workspace it was given at sign-up. The rest of this section describes how sharing works once the feature opens, and applies today only to self-hosted deployments that have enabled it.

When it is available, sharing a workspace is a paid feature — add credits to your account to unlock it. A free account keeps its personal workspace, which cannot take additional members.

In a shared workspace, an Admin or Owner can invite teammates from Settings → Workspace:

  1. In the Invitations section, click Invite member.
  2. Enter the person's email address.
  3. Pick a role — Viewer, Member, or Admin.
  4. Click Send invite.

The invitation is issued to that exact address and can only be accepted by someone signed in with it. Invitations expire after 7 days. Pending ones are listed in the same section with their status; click Revoke to cancel one.

Managing members

The Members section of Settings → Workspace lists everyone with access. If you are an Admin or Owner, each row other than your own and the Owner's carries a role dropdown and a Remove button. Removing someone cuts off their access to the workspace's assistants and data immediately.

At the bottom of the tab, in a shared workspace:

  • Everyone except the Owner sees Leave organization. Leaving drops your access; an admin can invite you back later, and you return to your personal workspace.
  • The Owner sees Delete organization. This permanently removes the workspace, its members, and its data. You must type DELETE to confirm. Like invitations, deletion is off for launch on hiroi.ai, so the control does not appear there.

Neither option appears in a personal workspace. To close your account entirely, use Delete account under Settings → Account, which starts a 30-day grace period.
